For ongoing monthly content clients, travel within our standard service area is included as part of your retainer relationship.

The Arrival Protocol

To provide the highest level of service, our team follows a strict pre-shoot workflow for every location:

• Punctual & Prepared: We arrive at all locations approximately one hour early. This buffer allows us to scout the best natural light, test our equipment, and identify the most scenic areas of the venue.

• Professional Integration: We arrive in professional company-branded attire. Upon arrival, we proactively introduce ourselves to venue management and fellow vendors, sharing our contact information to ensure fluid communication throughout the day.

• Client Communication: You will receive a "Departure" and "ETA" update via text or email on the day of your session so you know exactly when we are on-site.

• Safety First: We maintain a rigorous safety protocol. This includes the use of safety tape and cord management in high-traffic areas to ensure your guests and our equipment remain secure.

 Lodging Policy

For assignments that require an overnight stay, our lodging policy is straightforward and designed to protect both the quality of your final work and the safety of our team:

• Weddings & Commercial Marketing: Travel is waived. When an overnight stay is required, the client provides one night of lodging.

• Extended & Late-Night Shoots: For any service where a shoot ends after 9:00 PM or the location is more than 2.5 hours from our studio, one night of local lodging is required to ensure safe travel and peak performance. Lodging will be booked by us and billed to your final invoice.

• Destination & Multi-Day Projects: Lodging arrangements will be outlined in your custom quote before booking.

Logistics & Expenses

• Tolls & Parking: Actual costs for tolls and valet/event parking are billed post-session where applicable.

• Permits: The client is responsible for any location-specific photography permits or entry fees.

• Airfare & Long-Distance Travel: For assignments beyond our 2.5-hour service radius requiring air travel, transportation costs are quoted as part of your custom project estimate.

Frequently Asked Questions

Why is travel waived for weddings and commercial work but not for Airbnb or portraits?

Weddings and commercial marketing projects are full-scale productions with higher overall budgets. We fold travel into those package rates because the work itself carries the value. For shorter sessions like Airbnb shoots or portrait sessions, the travel fee ensures we're compensated for the full commitment — including the round trip — without inflating the base session rate.

I'm 2 hours from Callicoon. What will my Airbnb shoot cost?

Your session rate plus a $200 flat travel fee. That covers the full round trip and keeps the booking simple — no per-mile calculations or surprise additions.

Can you travel farther than 2.5 hours?

Yes. Beyond 2.5 hours, we provide a custom quote that accounts for travel time, lodging if needed, and the scope of the project. Reach out and we'll build it with you.

Do you charge for the initial site visit?

For weddings and commercial projects, the initial consultation and site visit are included in your package. For real estate and Airbnb assignments within the regional travel zone, the $200 flat fee includes the on-site visit.

How do I know which travel tier I fall into?

We calculate travel time from our studio at 8870 NY-97, Callicoon, NY 12723. We'll confirm your tier when you inquire and include it in your written quote before any deposit is collected — so there are never any surprises on your final invoice.
